Sri Lanka Chamo Tours is a travel company based in Sri Lanka, officially registered with the Sri Lanka Tourism Development Authority, the governing body for tourism in Sri Lanka. Sri Lanka Chamo Tours is responsible for meticulously planning, executing, and coordinating tours for guests and various travel collaborators. In these Booking Terms and Conditions, the term specifically refers to Sri Lanka Chamo Tours.

Booking Confirmation

  • Your reservation is secured, and a formal agreement is established when Sri Lanka Chamo Tours provides written confirmation upon receiving the required deposit. Please review your confirmation thoroughly and promptly notify the Tour Operator of any inaccuracies or omissions. It’s imperative that names match those in the relevant passport.
  • For all bookings, including customized holidays, a 50% upfront payment is necessary for confirmation. A Confirmation Invoice and Travel Voucher will be dispatched once all reservations are finalized, with full payment expected 14 days before your scheduled arrival. Submitting the deposit signifies your acceptance of our booking terms.

Additional Information:

  • The Initial Payment is due at the time of booking.
  • The Client is responsible for covering any bank charges associated with a bank transfer.
  • There will be no extra costs for postage, booking, or any undisclosed fees. Exchange rates are based on the Central Bank of Sri Lanka at the time of booking and remain stable.

Cancellation Policy

  1. Cancellation by Sri Lanka Chamo Tours Sri Lanka Chamo Tours is dedicated to upholding professional standards to safeguard your booking. However, we retain the right to cancel your reservation in the event of Force Greater (as detailed in the clause below). In such circumstances, we will promptly refund the entirety of your payment and, whenever feasible, present an alternative booking of similar type and quality for your consideration. Please note that we cannot be held responsible for any ancillary expenses you may incur while making arrangements for a booking subsequently cancelled by us.

  2. Cancellation by Client (You)You have the option to cancel your booking by informing the Tour Consultant. Any applicable cancellation fees will be determined based on the date on which the notice of cancellation is received by the Tour Consultant and will be expressed as a percentage of the total price paid for the cancelled Tour:
    • Cancellation received 60 days or more before the scheduled arrival in the relevant booking: 100% of the payments made to the Tour Consultant for the cancelled tour will be refunded.
    • Cancellation received between 30-59 days before the scheduled arrival in the relevant booking: an amount equivalent to 90% of payments made to the Tour Consultant for the cancelled Tour will be refunded.
    • Cancellation within 30 days before the scheduled arrival in the relevant booking: an amount equivalent to 80% of the payments made to the Tour Consultant for the cancelled Tour will be refunded.
    • Cancellation received 07 days or less before the scheduled arrival in the relevant bookings is non-refundable.
    • Other cancellation refunds are determined on a case-by-case basis, whether provided directly or indirectly by us. We generally do not refund for early checkouts or no-shows.

Any individual intending to cancel a booking with Sri Lanka Chamo Tours must promptly notify their respective Tour Consultant via email, referencing their Invoice number. In the event of a group cancellation (initiated by the tour leader), each individual will be held equally responsible for cancellation costs.

If any pandemic situation, if for any unfortunate reason the tour cannot proceed, Sri Lanka Chamo Tours will provide a 100% refund of your payment if the cancellation occurs within 30 days prior to your planned arrival in Sri Lanka.

Personal Safety:

Ensuring your personal safety is our paramount concern. If a specific travel advisory advises against visiting any country or region mentioned in your itinerary, we guarantee the following refunds in case of a cancellation by you.

This clause supersedes other cancellation clauses:

  • 30 days or more before your initial booking date with us: a minimum of 90 per cent of the total booking cost.
  • Within 30 days of your initial booking date with us and during your holiday: all recoverable costs.

Changes to Itineraries:

  • Itinerary Changes Initiated by Sri Lanka Chamo ToursSri Lanka Chamo Tours is dedicated to maintaining high levels of professionalism to safeguard your booking. Modifications will only be made in situations that are unavoidable or overriding. Every effort will be made to ensure that these adjustments align with the original itinerary and will be thoroughly discussed with you. If extraordinary circumstances (e.g. hotel overbooking) necessitate an urgent change in accommodation while you are on holiday, we will appropriately refund you if the replacement hotel is less expensive and cover any additional transfer costs.
  • Itinerary Changes Requested by Client (You)Sri Lanka Chamo Tours aims to provide flexible itineraries. Once an itinerary is finalized, requests for changes to a group or individual itinerary will always be taken into consideration. We will always inform you about any additional charges associated with these changes.
  • Information Provided by Sri Lanka Chamo Tours

Sri Lanka Chamo Tours will make every reasonable effort to ensure that the information provided is accurate and free from errors or omissions. Any identified errors or omissions will be promptly corrected upon notification. However, we cannot be held responsible for information that a reasonable person could not have expected us to know. Our opinions are subjective to some extent, even though we rigorously strive for accuracy. Occasionally, temporary local circumstances, such as emergency maintenance work, power outages, or off-season closures, may render advertised facilities unavailable. We do not assume responsibility for consumer comments made in interactive sections of the site, but we do reserve the right to moderate them to comply with legal requirements.

  • Information Provided by Client (You)

All information provided by you must be accurate and true. We will treat it with strict confidentiality. We do not engage in spamming, supply mailing lists, or use it for any purpose other than securing your booking. We uphold a stringent anti-fraud policy and take responsible measures to safeguard personal information, including credit card details.

Customer Care and Complaints Procedure
Sri Lanka Chamo Tours is wholeheartedly committed to delivering exceptional customer care at every stage of your holiday. This encompasses resolving any issues at their source for the benefit and satisfaction of all parties involved. Any complaints must be addressed promptly with the service provider (e.g. hotel manager), our ground representatives, and agents. If matters are not satisfactorily resolved, you MUST notify Sri Lanka Chamo Tours within 24 hours via email, as an additional effort to amicably rectify the situation. Before travel, Sri Lanka Chamo Tours provides you with relevant contact numbers, and it is your responsibility to keep them securely. We reserve the right to decline any liability or compensation if this arbitration procedure is not strictly followed.

Essentials Checklist:
Please review your flight times carefully upon receiving your tickets. The airline may make minor adjustments to flight schedules after the issuance of our Travel Voucher. Please note that we are not liable for these changes. It is your responsibility to promptly inform us of any alterations to your flight times. Additionally, ensure that your travel documents, passports, visas, driving license, insurance details, and currencies are in order.

Special Requests:
Any special requests should be communicated to us at the time of booking, such as dietary preferences, room location, room type (e.g., twin/double), or specific facilities at a hotel (e.g., swimming pool, gym). Please confirm your requests via email. While we will make every effort to accommodate your reasonable special requests, we cannot guarantee their fulfillment. Noting a special request on your confirmation itinerary or other documentation, or passing it on to the supplier, does not confirm that the request will be met. Failure to fulfill a special request does not constitute a breach of contract on our part, and we do not accept bookings conditional upon specific requests being met.

Force Greater:
The Tour Operator will not be held liable for any death, bodily injury, illness, damage, delay, or other loss or detriment to person or property, or for any associated direct or indirect financial costs, or for any failure to commence, perform, or complete any duty owed to you if such incidents are caused by circumstances beyond the reasonable control of the Tour Operator. These may include Acts of God, war or war-like operations, mechanical breakdowns, terrorist activities or threats thereof, civil commotions, labor difficulties, interference by authorities, political disturbance, riot, insurrection, government restraint, fire, extreme weather, or any other cause whatsoever.

Independent Travel:
In the event that an itinerary is only partially booked by Sri Lanka Chamo Tours, we cannot be held responsible for any component of the holiday for which we do not have direct responsibility. This includes difficulties in finding hotels or arranging transport if customers opt for accommodation-only deals and arrange their own transportation.

Insurance:
Every holidaymaker, without exception, must possess valid travel insurance, and details of the policy must be provided before travel. Individuals must ensure that this travel insurance offers adequate cover for the type of holiday undertaken.

Required Medical Information:
You are responsible for determining whether a Tour is suitable for you. Consult your physician to confirm your fitness for travel and participation in any planned activities. Seek your physician’s advice on vaccinations and medical precautions. The Tour Operator does not provide medical advice. It is your responsibility to evaluate the risks and requirements of each aspect of the Tour based on your own unique circumstances, limitations, fitness level, and medical needs.

Age & Fitness:
To ensure that you and anyone in your booking party fully enjoy their holiday, clients falling into the following criteria are required to complete our Tour Suitability Form. Depending on participation requirements, upgrades or conditions may apply, or we may be able to provide the holiday on a private basis (supplements apply).

  • Persons with pre-existing medical conditions or those requiring regular care by a doctor should inform the respective Tour Consultant. If you feel the need to provide additional details, please do so.
  • All persons aged 70 or over by the tour start date may be required to provide further information or a signed letter from their doctor confirming their ability to undertake the chosen tour.
  • Pregnancy is considered a medical condition and must be disclosed to the Tour Operator at the time of booking. The Tour Operator may refuse to carry women who are over 24 weeks pregnant. The Tour Operator may also refuse to carry anyone with certain medical conditions if reasonable accommodation or alternatives cannot be arranged.

Pre-Overseas Travel Checklist:
Sri Lanka Chamo Tours offers a diverse range of bookings, catering to both luxury and budget preferences. While we strive for meticulous planning, it’s important to note that amenities and infrastructure may vary in development. Delays, occasional discomfort, and encounters with insects, particularly in tropical regions, can be anticipated. By booking with us, you acknowledge and accept these realities. We advise clients to exercise sensible precautions and stay informed through independent and reliable sources.

Breach of Contract and Negligence:
We accept liability only for incidents directly resulting from proven negligence on our part or that of our suppliers, concerning arrangements included in your holiday itinerary. This applies when we handle all your holiday accommodation and transfers for the entire duration of your stay. It covers cases of illness, injury, and/or death.

Personal Loss, Injury, and Illness:
In the event of loss (e.g., baggage or valuables), severe illness, personal injury, or death during your holiday, we or our designated representatives will offer sympathetic advice and guidance at our/their discretion. This assistance must be coordinated with your personal travel insurance policy.

Price Guarantee:
We assure you that your holiday will not be subject to surcharges, except in cases where our costs increase due to changes in Government policy. We do not impose surcharges for fluctuations in exchange rates.

Accommodation:
Sri Lanka Chamo Tours guarantees the specified accommodation for the selected tour package. Detailed information about selected hotels based on your package will be provided in advance. We encourage clients to thoroughly research selected hotels before confirming a booking. Once a booking is confirmed, we will proceed with reservations at the specified hotels, and changes cannot be made under any circumstances before or after the guest arrives in Sri Lanka. If, however, a guest insists on changing a hotel booking, Sri Lanka Chamo Tours will do its utmost to arrange alternative accommodation in the same category. Please note that any additional costs incurred will be the responsibility of the guests.

Shopping:
Sri Lanka Chamo Tours does not, in any situation, endorse or assure the value or quality of any additional product that is not explicitly listed on the Travel Voucher and may be purchased during an itinerary arranged, either in part or in whole, by Sri Lanka Chamo Tours. This applies even if the product has been discussed between a client and an employee or representative of Sri Lanka Chamo Tours. It is solely the client’s responsibility to assess the value of a product, and Sri Lanka Chamo Tours has no obligation to intervene in such matters. Additionally, Sri Lanka Chamo Tours is not accountable for the quality, functionality, guarantee, or warranty of any product purchased during your tour.
